  1. THE VALUE OF PRIVACY
    1. 1.1.This Policy will govern the collection, use, disclosure, retention, and disposal of personal information received by us. This Policy is compliant with privacy laws of British Columbia and Canada, and the General Data Protection Regulations of the European Union, where applicable (collectively, the “Privacy Protection Legislation”).
    1. 1.2.We value your privacy as much as we do our own, so we are committed to keeping your personal and business information safe. We are committed to ensuring the security and integrity of all personal information that may be collected, used, disclosed, retained, and/or disposed by us from the users of our website and we only ask from you to provide only the bare minimum information that is required from you. Any time you provide your personal information to us, your personal information will be protected under this Policy and we will never use your personal information for any reason other than the purposes for which you have consented, and we will never give anyone access to it unless required by law or court order.
  1. CONSENT TO TERMS AND CONDITIONS OF THIS POLICY
    1. 2.1.By using or continuing to provide to us with your personal information, you confirm acceptance of the terms and conditions of this Policy. If you do not agree to the terms and conditions of this Policy, you must refrain from providing personal information to us and withdraw your consent under this Policy.
    1. 2.2.If we change the contents of this Policy, those changes will become effective the moment we publish them on our website.
  1. WHAT IS PERSONAL INFORMATION
    1. 3.1.Personal information is any information about an identifiable individual and includes the following information: names, phone number, address, e-mail address, financial information, and any other information about an identifiable individual. We only collect personal information about identifiable individuals if such personal information is voluntarily provided to us. Any personal information collected by us will be used in accordance with the terms and conditions of this Policy.
    1. 3.2.If and when you are using the website or otherwise communicating with us, we may request, require or maintain the following personal information: name, email address, phone number, a social media username, and the company you work for, the company/business you operate, banking information, delivery address;
  1. WHAT ARE THE PERMITTED USES
    1. 4.1.By providing your personal information your consent to us collecting and using all such personal information for any and all of following purposes (the “Permitted Uses”):
      1. to fulfil an order placed by you or facilitate a business transaction requested by you;
      2. to provide you with your requested products and services;
      3. to record invoices, statements, and send reminders to you in respect of your purchases;
      4. to market products and services of ours to you;
      5. to contact you about surveys, questionnaires, or contests;
      6. to distribute newsletters that you signed up for;
      7. to respond to inquiries made by you;
      8. to confirm information you provided is accurate and complete;
      9. to use in the analysis related to the efficient operation of our business;
      10. to maintain ongoing professional relationships with you;
      11. to fulfill a legal obligation placed on us by law; and
      12. to be used in any manner allowed by Privacy Protection Legislation.
    1. 4.2.If you withdraw consent for your personal information to be used for one or more of the Permitted Uses, you must notify us in writing or elect to unsubscribe to the newsletters or emails delivered to you. After we receive the written notice, we will cease contacting you and we will take steps to ensure that the use your personal information is in compliance with the written notice and Privacy Protection Legislation.
  1. HOW IS PERSONAL INFORMATION ACCESSED, MAINTAINED & DESTROYED
    1. 5.1.We will not collect, use, disclose, or retain your personal information unless it is necessary in order for us to use your personal information for the Permitted Uses for which you have consented. We will never use your personal information for purposes other than the Permitted Uses and we will not license, sell or give your personal information to third parties, unless it is permitted under this Policy.
    1. 5.2.Depending on the circumstances, your personal information will be stored on different systems. When you contact us by email or through our website, we store your information in our Customer Relationship Management software, which is currently [WordPress]. If you sign up for a newsletter, we store your email address the marking platform we use, which is currently [Active Campaing]. When you purchase a product, your information is stored in our ecommerce platform, which is currently [______]. Finally, if we do business together, we store your information in our accounts software, which is currently [_______]. We have chosen these systems, in part, because of their commitment to maintain security of your personal information in accordance with this Policy.
    1. 5.3.We will retain your personal information for only as long as necessary under this Policy (the “Retention Period”). After the expiration of the Retention Period, we will remove, dispose of, and permanently destroy your personal information.
    1. 5.4.At any time by writing to the Privacy Officer, you may request to examine or correct your personal information, as long as it is carried out in accordance with the Privacy Protection Legislation.
  1. COMMITMENT TO MAINTAIN SECURITY
    1. 6.1.We are committed to protecting your personal and will all reasonable procedures to prevent the unauthorized access, use and disclosure of your personal information. The following set out the safety protocols are used by us to ensure protection your personal information:
      1. When we store your personal information with third-party services providers, we restrict access only to persons who require access for the Permitted Uses
      1. We restrict access by requiring those who need access to log in using usernames and passwords and require the passwords to be updated periodically, and prohibit the use the same password two or more times;
      1. The computers we use are all encrypted using 128-bit encryption and are further protected by a passcode or fingerprint access. These computers ask for authentication under appropriate circumstances. Our mobile devices are also protected by a fingerprint or facial recognition technology;
      1. We restrict access to the personal information to a limited number of authorized personelle and only those who need to have access for the Permitted Uses. We also physically restricting access to records containing paper copies of personal information to authorized personelle, where physical copies exist.
      1. We prohibit the removal of personal information from our business premises.
      1. We require all our employees to affirm the employee’s agreement to treat the personal information in accordance with this Policy.
    1. 6.2.If we become aware of any breach of this Policy, we will take immediate action to correct any breach and notify those that have been affected by the breach and inform them of the steps that have been taken by us to remedy the issue as soon as reasonably possible.
  1. LIMITATION OF LIABILITY
    1. 7.1.You agree that we have no liabilities to your or anyone else in respect of our use in any form of your personal information (including loss, destruction, or theft of personal information), except for the duty of reasonable care in the safekeeping of personal information in accordance with the Privacy Protection Legislation.

    1. 8.1.Karen Ann Davidson has been appointed a Privacy Officer to oversee all aspects of this Policy, including the enforcement of this Policy and maintaining security over your personal information.   1. BC JURISDICTION
    1. 9.1.The Policy will be governed by and interpreted in accordance with the laws of the Province of British Columbia and the laws of Canada. You consent and submit to the exclusive jurisdiction of the courts of the Province of British Columbia in any action or proceedings related to your personal information and this Policy.
